Position Title: Assistant Executive Director of the San Juan Economic Development Corporation (EDC)

Position Summary: The Assistant Executive Director of the San Juan Economic Development Corporation will provide high-level administrative support to the Executive Director and Board of Directors of the San Juan EDC. This role involves managing schedules, preparing reports, handling confidential information, and facilitating communication within the organization and with external stakeholders. The ideal candidate will be detail-oriented, proactive, and possess excellent organizational and communication skills.
Key Responsibilities:
- Administrative Support:

- Draft, review, and prepare correspondence, memos, reports, and other documents as needed.
- Organize and maintain electronic and physical files to ensure efficient document retrieval.
- Maintain accurate records of the EDC activities, initiatives, and correspondence.
- Manage and oversee compliance with reporting requirements, such as financial reports and grant documentation.
- Meeting Coordination:

- Prepare Agendas, Presentations, and Materials for Board of Director Meetings.
- Assist in planning and coordinating EDC-hosted events or community forums.
- Record and distribute minutes of meetings.
- Follow up on action items and ensure timely completion.
- Communication Management:

- Act as a liaison between the Executive Director and internal/external stakeholders.
- Attend City Council meetings on a monthly basis to provide updates and reports on the Economic Development Corporation's (EDC) business activities, initiatives, and matters of interest to the Council.
- Actively initiate business recruitment efforts, including identifying and engaging prospective businesses. Publicize and promote the Economic Development Corporation (EDC) and local business opportunities through strategic marketing, outreach, and public relations efforts.
- Screen phone calls, emails, and correspondence, responding or delegating responses when appropriate.
- Assist in the preparation of communication materials, press releases, and newsletters.
- Project Assistance:

- Assist in planning and coordinating special projects and events, including workshops, board meetings, and community outreach initiatives.
- Monitor project timelines and provide updates on the progress to the Executive Director.
- Confidentiality and Discretion:

- Handle sensitive and confidential information with integrity and discretion.
- Ensure compliance with the organization's policies and procedures.
- Office Management:

- Supervise and manage Economic Development Corporation (EDC) employees, including supervising daily operations, ensuring adherence to organizational policies, and fostering a productive and collaborative work environment.
- Support general office operations as needed.
Qualifications:
- Education: A bachelor’s degree in business administration, Communications, or a related field is preferred. Equivalent professional experience may be considered in lieu of a degree.
- Experience: A minimum of 3-5 years of experience in an executive support role or in Business Administration, with a preference for experience in economic development or a government setting.
- Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Ability to work independently and handle multiple priorities under tight deadlines.
- Familiarity with project management tools and customer relationship management (CRM) systems is a plus.
Work Environment:
- This position will be based in the San Juan City Hall EDC office with occasional travel as required.
- This position will involve attendance at evening and weekend meetings or events.
Compensation and Benefits:
- Competitive salary ranging from $65,000.00 up to $75,000.00 to be commensurate with experience.
